Documents Beta Community Terms

These Documents Beta Community Terms (the “Community Terms”) govern your access to and participation in the testing community (the “Documents Beta Community” or “Community”), operated by Readdle Limited (“Readdle”, “we”, “our”, or “us”).
The dedicated “Personal Data in Documents Beta Community” section of the Privacy Notice for Documents App sets out how we process personal data in connection with the Community, and should be read alongside the remainder of the Privacy Notice for Documents App, which covers our data processing practices.
The Community is intended to support beta testing, feedback collection, and collaborative engagement between Readdle and users of the pre-release versions of the Documents application (the “Beta Offerings”, as defined in the Terms of Service for the Documents App).
By accepting the invitation and joining the Community, you (“you”, or “your”) acknowledge that you have read, understood, and agreed to be bound by these Community Terms. These Community Terms supplement the Terms of Service for the Documents App (the “Terms of Service”), which are hereby incorporated by reference. In the event of a conflict between the Community Terms and the Terms of Service regarding your use of the Beta Offerings, the Community Terms shall prevail.
If you do not agree to these Community Terms, you must not access or participate in the Community.
Community Platform
The Community is hosted on the Slack platform via the dedicated Documents Beta Community workspace. While the Slack workspace remains the Community’s main communication platform, we may establish additional communication channels at our sole discretion.
You acknowledge that your access to and use of the designated communication platforms (e.g., the Slack workspace) is governed by the terms of service, privacy policies, and other applicable terms of the respective platform. Readdle is not responsible for the operation, functionality, security, or data handling practices of any third-party platform.
Community Engagement and Participation
We encourage you to participate actively in the Community and contribute in a constructive, respectful, and collaborative way. As a member of the Community, you are expected to:
- Engage actively, thoughtfully, and constructively throughout the Community;
- Review official communications, follow the provided onboarding instructions, and familiarize yourself with guidance related to installing and using the Beta Offerings;
- Introduce yourself when joining the Community to help foster a collaborative and welcoming environment;
- Share constructive feedback in the designated channels;
- Share files or samples in the designated channels to help us develop and improve the Documents App and our other products, including AI features and underlying AI technologies, as well as internal automations and workflows;
- When encountering technical issues, bugs, or errors, report them in the designated channels to support timely investigation and resolution;
- Participate in informal discussions, provided all interactions remain respectful and fully compliant with the Code of Conduct as outlined below.
Code of Conduct
Our goal is to foster a respectful and professional environment within the Documents Beta Community. As a member of the Community, you must adhere to the following requirements:
- When using Beta Offerings, comply with the Acceptable Use requirements as defined in the Terms of Service for the Documents App;
- Ensure that your actions within the Community and your use of the Beta Offerings, including any particular features and functionality, comply with all applicable laws and regulations;
- Do not harvest, share, record, publish, or otherwise disclose the personal information, private discussions, or contact details of other Community members or Readdle employees without their express consent.
- Do not use the Community for unsolicited self-promotion, advertising, soliciting, or promoting your own business or any third-party products or services;
- Do not impersonate others or misrepresent your identity or relationship with Readdle or any third parties;
- Do not engage in any activity that is illegal, fraudulent, misleading, or violates the rights of others;
- Do not upload, store, transmit, distribute or otherwise make available any content that is unlawful, harassing, threatening, fraudulent, harmful (e.g., viruses and malware), or that infringes upon the intellectual property rights of any third party;
- Do not engage in spamming, excessive posting, or other disruptive behavior;
- Maintain a respectful environment free from harassment, discrimination, or threats of violence;
- Respect the intellectual property of Readdle and others;
- Do not engage in any activity that may damage the reputation of Readdle;
- Adhere to the terms of service (or equivalent) and applicable policies of any third-party platforms or services (e.g., Slack and other communication platforms) used to access the Community;
- Comply with any additional rules or guidelines that Readdle may share within the Community.
A breach of this Code of Conduct may result in the immediate suspension or permanent termination of your Community access. Readdle, or its designated moderators, reserve the right to review and remove any message or content that we reasonably believe violates these Community Terms, including the Code of Conduct, or applicable law.
Benefits
Readdle may, at its sole discretion, provide certain benefits to the Community members. These may include complimentary, temporary (for the duration of your participation in the Community) access to certain or all premium features in the Beta Offerings and/or access to priority support via designated communication channels (e.g., Slack), or other benefits of our choice.
You acknowledge that these benefits are provided solely to facilitate testing and feedback, are subject to change, and may be withdrawn or terminated by Readdle at any time, for any reason, and without notice or compensation. Readdle is under no obligation to provide, maintain, or continue these benefits.
Confidentiality
All information shared within the Community, whether by the Community members or Readdle, is strictly confidential. This includes, but is not limited to, proprietary information, product plans, discoveries, ideas, processes, designs, product configuration information, technical data, marketing information, samples, data sets, photographs, screenshots, audio and video materials, graphics, text, Development Feedback (as defined below), and other files and materials. Without limiting the generality of the foregoing, confidential information specifically includes the Community membership list, members’ personal information, and their contributions to the Community, including Feedback, messages, files, or other materials. You must not disclose, publish, distribute, or reproduce any Community-related content outside the Community without written consent from Readdle. This obligation remains in effect after your participation ends.
You agree to treat all information regarding the Beta Offerings with the highest level of confidentiality and shall not, without the prior written consent of Readdle:
- Disclose any information about the Beta Offerings, including but not limited to its design, performance specifications, code, and the results of the beta test, to any third party.
- Publish or disclose any screenshots, photographs, technical information, or other details about the Beta Offerings on any platform, including social media or online forums.
Readdle reserves all rights to protect its confidential and proprietary information and may pursue any legal or equitable remedies available for a breach of these obligations.
Community Access and Termination
Access to the Documents Beta Community is by invitation only and is not guaranteed. We reserve the right to suspend or terminate your access to the Documents Beta Community and/or Beta Offerings at any time, without liability to you.
You may terminate your participation in the Community at any time by deactivating your Slack account within the workspace settings.
Please note that suspension or termination of your access to the Community and/or Beta Offerings may result in damage to or loss of your data, and Readdle disclaims all liability should any of the preceding occur. You acknowledge and agree that it is your sole responsibility to create and maintain backup copies of the materials that you upload, store or manage through the Beta Offerings. Upon request by Readdle, you shall permanently delete all copies of the Beta Offerings from all devices, storage media, and online storage services. You shall provide written confirmation to Readdle that the Beta Offerings have been deleted.
Development Feedback
By sharing your ideas, feedback, and suggestions on the Documents App and/or Beta Offerings in the Community (“Development Feedback”), and uploading files or samples to channels explicitly intended for product development, you grant Readdle a perpetual, worldwide, transferable, sublicensable, royalty-free license to use such Development Feedback and files to maintain and improve our products or services.
We have the right to incorporate your Development Feedback into our existing or future products or services without compensation or further notice, though we are under no obligation to do so.
We will not publish, publicly display, or otherwise use your Development Feedback for marketing or advertising purposes without your separate consent.
Liability
We shall not accept responsibility if any information, materials, or content available through the Community is inaccurate or incomplete.
In no event shall Readdle, its affiliates, directors, partners, employees, contractors, or agents be liable for indirect, incidental, special, punitive, or consequential damages arising out of or in any way connected with any use or inability to use the Beta Offerings or your participation in the Community or inability to access the Community. Examples of such damages include, but are not limited to, loss of, or damage to data, damages arising from the use of information provided or obtained through the Beta Offerings, and those resulting from errors, omissions, interruptions, defects, or viruses, even if Readdle had been advised of their possibility.
The preceding limitations of liability do not apply to the extent prohibited by law.
If any part of the limitations of liability is found to be invalid or unenforceable for any reason or if we are otherwise found to be liable to you in any manner, then our aggregate liability for all claims under such circumstances shall not exceed 100.00 US dollars.
Indemnification
You agree to defend, indemnify, and hold harmless Readdle, our subsidiaries, directors, partners, employees, contractors, and agents from and against any claims, responsibility, damages, losses, and expenses, including reasonable legal and accounting expenses, arising from:
- any breach by you of these Community Terms;
- any Development Feedback, communication, or materials shared by you within the Community;
- your use/misuse of the Beta Offerings; or
- any violation by you of applicable laws and regulations, or any actual or alleged infringement of third-party rights, including intellectual property or privacy rights, related to your participation in the Community.
Miscellaneous
Modifications to the Community Terms. Readdle may modify the Community Terms at any time. If changes significantly affect your rights and obligations as a member of the Community, we will provide you with prior notification. This notification can be delivered to you via email, a public message in a dedicated channel in the Community workspace on Slack, or through any other communication channels. Your continued participation in the Community will signify your acceptance of the revised Community Terms.
Applicable Law and Dispute Resolution. These Community Terms are exclusively governed by and constructed under the laws of the Republic of Ireland, without regard to any conflict of laws provisions. All disputes related to these Community Terms are subject to the dispute resolution and jurisdiction procedures defined in the Terms of Service for the Documents App.
